Customs: prepare the documents and check the route promise

Keep recipient details, payment proof and route terms together. Duty-inclusive wording and destination customs requirements are different parts of the decision.

Make the recipient reachable

Clearance is a destination process. The agent or carrier may help, but customs can ask the recipient for documents or action. Use accurate recipient details, watch messages and tracking, and verify an unexpected payment request through the carrier’s official channel before responding.

Do not assume that a route advertised as duty-free removes every document request. A recipient may still need to cooperate with checks. Failure to respond, provide required information or collect a parcel can lead to storage, return or disposal costs under the applicable terms.

Separate a route promise from customs rules

The captured clearance help page distinguishes non-duty-free routes, where the user bears clearance costs, from assisted duty-free lines. For the latter, it describes assistance and reimbursement of some expenses against receipts. Verify the exact route, covered charge and procedure before assuming a bill will be reimbursed.

Dated EU and US notices describe particular shipping offers. Their region, publication date and continuation conditions matter. They do not establish the current law for every destination or a permanent subsidy. Keep the route terms used at payment and request a written explanation of any unexpected charge.

Policy example: Customs clearance instructions, captured 10 October 2026. Check the applicable current terms.

Plan the payment proof before ordering

The captured Kakobuy guidance says it provides a payment-order screenshot for purchased goods when payment proof is needed, rather than an invoice receipt. Confirm whether that document satisfies your shipment’s requirements. If a commercial invoice or another document is required, ask the seller and support what can be supplied before purchase.

Keep an accurate item description, the actual transaction record, shipping payment and any requested recipient identification. Declare truthfully under the destination’s requirements. Lowering a declared amount or relabelling a product is not a sound way to manage clearance risk.

Do not plan from an old threshold table

The operator’s captured threshold page labels its table as reference material. Several figures may be outdated. This desk does not reproduce them as current exemptions, nor treat parcel weight or repeated items as universal customs thresholds.

Check the destination customs authority and the selected route for the actual shipment. Commercial quantities, product restrictions and identity requirements depend on the goods and jurisdiction. A historical estimate cannot tell you the probability that a specific parcel will be inspected.

Tax identifiers and a held parcel

The captured tax-number notice names Chile’s RUT and Brazil’s CPF/CNPJ as examples of recipient identifiers. Confirm the current required identifier, formatting and matching recipient name in the actual shipping form. Do not use somebody else’s identifier to make a form pass.

  • Record the hold message, tracking event and stated deadline.
  • Ask the official carrier or customs contact exactly which document or action is required.
  • Send the request to Kakobuy support with the parcel number if the agent must provide an order record.
  • Keep submissions, acknowledgements and receipts. If insured, also check the route’s customs-hold criteria and exclusions.

When one payment covers several items

Prepare a clear link between each item description, its seller order and the payment record. If one payment includes several purchases or domestic freight, explain which lines belong to this parcel instead of presenting the whole debit as one item’s price. Keep currencies and genuine discounts visible in the original evidence.

Ask the requesting customs or carrier contact which format it accepts and whether an explanation is sufficient or a different document is needed. Do not alter a receipt to resemble an invoice, invent a unit value or hide a payment line. Ask the seller and agent for a corrected or additional record when the existing evidence cannot establish the transaction.

Keep the request, submitted documents and acknowledgement together. If the parcel is insured, check the cooperation requirements while responding; insurance is not a substitute for providing the required documents.
